Submission Guidelines and Deadlines

Deadlines:

  • August 2026 – Theme | Enhancing our Practice (QI, EBP, Research & Retention)
    • Deadline for articles: May 1, 2026
  • November 2026 – Theme | Protecting our Practice (Legal, ethics, and regulatory)
    • Deadline for articles: August 1, 2026

This quarterly publication is electronically distributed to all Registered Nurses in Ohio; all ANA-Ohio members receive a hard copy in the mail.

Submission Guidelines:

    • All articles must be submitted via the submission portal on the website.
    • Include title, author(s’) names with credentials, email address(es), author(s’) affiliation, ANA Ohio membership status, and appropriate references for the content of the article. Personal email is preferred due to organizational firewalls.
    • Use APA Style (7th ed) for citations, references, headings, and overall formatting (double spaced lines, page numbering, etc.). “Running Headers” are not required. Generally, references should be from professional sources within the past 5 years unless the reference is “classic and/or foundational”.
    • Sub-headings are expected where indicated and tables/illustrations are encouraged to summarize key points as appropriate.
    • Photographs should not be copyrighted, be of clear quality, and be in a digital format with an appropriate resolution for printing.
      • Submit images with the correct name(s), place/event, date, and descriptions.
      • Editors reserve the right to not use images that do not comply with the above criteria.
      • Including images is dependent upon available space in the publication.

    Use of Artificial Intelligence (AI) in Article Submissions

    Statement of Principle– While ANA-Ohio News Journal recognizes that Generative AI (GAI) can be a valuable tool for drafting and refining articles, the ultimate responsibility for the accuracy, integrity, and originality of a submission rests solely with the human authors. AI cannot be credited as an author or co-author.

    Mandatory Disclosure Requirements All authors must include an AI Disclosure Statement at the end of their manuscript. This statement must specify:

    • The Tool Used (e.g. Chart GPT-4 Calude-3, Grammarly Go, Gemini, etc.).
    • The Scope of Use (e.g., AI was used to organize the initial outline, AI was used for language editing, or AI was used to summarize data).
    • Confirmation of Verification – A signed statement confirming that all AI-generated content, particularly clinical data and citations, has been manually verified by the authors.

    References and Citation Integrity- Eliminating the Potential for Hallucination – The most critical risk of GAI in nursing scholarship is the fabrication of “hallucinated” references.

    • Direct Verification – Authors must personally retrieve ad read the full text of every cited reference to ensure it exists and support the claim made in the text.
    • DOI Requirement – where available, authors should provide the Digital Object Identifier (DOI) for all references to facilitate editor verification and confirm functionality/accuracy of the DOI link.
    • Detection – Any manuscript found to contain fabricated references may be at risk for a ban on future submission to this journal.

    Sample Full Disclosure Statement for the Use of Generative AI

    Authors should use the following templates as a guide for their mandatory disclosure:

    The authors used (AI Tool Name, i.e., ChatGPT-4, Grammarly Go, Gemini) for the purpose of (Select category, e.g., organizing the initial manuscript structure, language and grammar refinement, generating alt-text for images). Following the AI-assisted phase, the authors reviewed and edited the content for accuracy and take full responsibility for the final published work.

    Verification Statement: I/We confirm that all AI-generated summaries, clinical assertions, and citations have been manually cross-referenced with primary peer-reviewed literature. All cited DOIs have been verified for credibility. The authors take full responsibility for the final content. Signature – Author’s Name(s)

    Example Categories:

    Substantial Generative Assistance: organizing the initial manuscript structure from research notes to generate a summary of content.

    Language and Grammar Refinement: utilized during the final drafting phase of the manuscript for the purpose of language editing, grammatical correction, and improving sentence flow.

    Readability leveling: adjusting complex medical text to reach the intended audience.

    Formatting for Screen Readers: to generate descriptive alt-text for complex medical diagrams to ensure ADA compliance.

    Citation Formatting & Cross-Checking: to ensure citations match the reference list and adhere to specific style (APA).

    Space limits

    The following lengths are strongly recommended due to space limitations. While ANA Ohio will make every effort to publish articles in their entirety, ANA Ohio reserves all editing rights prior to publication.

    • Feature articles: 500 to 750 words preferred, exceptions may be granted to 1,000 words.
    • Research articles: 1,000 to 1,500 words; exceptions may be granted to 2,000 words.
    • Regular Reports: 500 words (Chief Executive Officer, President, and others).
    • All other submissions: 250 to 500 words, content dependent, please include a clarifying statement if you are submitting an article exceeding these guidelines
